Reconciliation Account

« Back to Glossary Index

What is a reconciliation account?

A reconciliation account is a general ledger account used to represent the combined balance of a related subledger, such as accounts receivable or accounts payable. Transactions recorded in individual customer or supplier accounts update the corresponding general ledger balance, helping the two records remain aligned.

Also known as: control account. SAP normally uses the term reconciliation account.

For example, when a supplier invoice is posted to a vendor account, SAP also updates the associated vendor reconciliation account in the general ledger. This helps keep the accounts payable subledger and general ledger aligned.

How does a reconciliation account work in SAP?

A reconciliation account is assigned in the relevant master data. Normal customer and vendor transactions are posted to the subledger account, and SAP updates the reconciliation account at the same time.

This creates two useful views:

  • Individual transactions and balances by customer or vendor in the subledger
  • The combined receivables or payables balance in the general ledger

Direct postings to customer and vendor reconciliation accounts are generally restricted because they could cause the general ledger and subledger to disagree.

Example: A £5,000 supplier invoice is posted to a vendor account. The vendor balance increases by £5,000 and SAP automatically posts the corresponding amount to the assigned payables reconciliation account.

Why are reconciliation accounts important?

Reconciliation accounts help finance teams produce financial statements while retaining detailed customer and vendor records. They support:

  • Alignment between subledger and general ledger balances
  • Complete accounts receivable and accounts payable reporting
  • Faster investigation of balance differences
  • More controlled posting processes
  • Reliable month-end and year-end reporting

A difference between a reconciliation account and its supporting subledger can indicate an incorrect posting, a migration issue, a configuration problem or an exceptional adjustment that needs investigation.

How are reconciliation accounts reviewed?

Finance teams can compare the general ledger balance with the total of the related customer or vendor accounts. They may also review unusual movements, aged items, manual adjustments and changes to master data.

The account can form part of the wider balance sheet reconciliation process. The BEST Balance Sheet Recons module supports the preparation, review and approval of balance sheet reconciliations within SAP, including supporting evidence and audit history. It does not replace SAP’s reconciliation-account functionality.

Frequently asked questions

Is a reconciliation account the same as a control account?

The terms are often used for the same accounting concept. SAP documentation and configuration normally use reconciliation account.

Can users post directly to a reconciliation account?

Normal customer and vendor postings should be made through the relevant subledger account. SAP then updates the reconciliation account automatically. Any exceptional adjustment should follow the organisation’s SAP controls and accounting policy.

Is a reconciliation account an open-item-managed account?

Not necessarily. Reconciliation accounts represent subledger totals, while open item management tracks individual items in selected accounts until they are cleared. The two concepts serve different purposes.
