Lockbox Processing

« Back to Glossary Index

What is lockbox processing?

Lockbox processing is a receivables process in which a bank collects customer payments on an organisation’s behalf and sends the payment and remittance data to the organisation for posting, allocation and clearing.

Lockbox services are most commonly associated with the United States. The bank receives cheques or electronic payment information on the organisation’s behalf and supplies a structured data file.

How does lockbox processing work in SAP?

A typical process is:

  1. Customers send payments to the bank’s lockbox service.
  2. The bank processes the payment and captures remittance information.
  3. The bank sends a lockbox file to the organisation.
  4. The file is imported into SAP.
  5. SAP posts the incoming payments and applies configured matching rules.
  6. Unmatched or partly matched items are sent for reprocessing.
  7. Confirmed matches are cleared against the relevant receivables.

Why do lockbox items require reprocessing?

Automatic matching can fail where:

  • Invoice references are missing or incorrect
  • The payer differs from the customer account
  • One payment covers many invoices
  • Deductions or short payments are present
  • Customer master data is incomplete
  • The bank file lacks sufficient remittance detail
  • The payment relates to several customer accounts

These items require investigation before they can be cleared accurately.

Is lockbox processing the same as cash application?

Lockbox processing is one route for receiving and posting payment data. Cash application is the wider process of identifying payments, allocating them to receivables and handling differences.

An organisation can perform cash application using lockbox files, electronic bank statements, direct remittance advice or a combination of sources.

Frequently asked questions

Does every organisation use lockbox processing?

No. Lockbox services are market- and bank-dependent. Many organisations receive incoming-payment data through electronic bank statements or other channels.

What is an open lockbox item?

It is a payment item imported from the lockbox file that has not yet been matched and cleared successfully.

Can lockbox processing be automated?

SAP provides rules and, in relevant products, additional automation for proposing matches and clearing eligible items. Exceptions still require review where the evidence is incomplete.
