Unidentified Payment

« Back to Glossary Index

What is an unidentified payment?

An unidentified payment is money received that cannot yet be connected reliably with the correct customer, invoice or other open receivable. The payment is known to the bank or accounting system, but the information needed to allocate and clear it is missing, incomplete or inconsistent.

Unidentified payments are a form of unapplied cash. They require investigation before finance can update the correct customer account and clear the related open items.

Why do payments remain unidentified?

Common reasons include:

  • The payer name differs from the SAP customer name
  • No invoice reference is provided
  • The bank reference is incomplete or incorrect
  • One organisation pays on behalf of another
  • A payment covers several customer accounts
  • The payment advice arrives separately or is missing
  • The amount does not match the expected invoices
  • Customer master data is duplicated or outdated

How are unidentified payments investigated?

Finance teams may compare:

  1. Bank-statement and payment references.
  2. Payment amount and currency.
  3. Customer and payer names.
  4. Recently issued invoices.
  5. Previous payment patterns.
  6. Remittance advice received by email or another channel.
  7. Information from collections or customer-service teams.

The payment should only be allocated when there is enough evidence to support the match.

How is an unidentified payment handled in SAP?

The payment may remain on a clearing account or be posted on account, depending on the organisation’s SAP process. Until it is allocated, customer invoices can continue to appear unpaid. This can distort accounts receivable ageing and lead to unnecessary collection activity.

Example: A bank statement shows a payment of £24,650 with an abbreviated payer name and no invoice numbers. The accounts receivable team checks open balances and contacts the customer before allocating the amount.

How can unidentified payments be reduced?

Clear payment instructions, consistent customer master data and timely remittance advice all help. Matching rules can also use combinations of payer, value, reference and previous behaviour to propose likely customer items.

The BEST Customer Clearing module supports the matching of payment advice lines with open receivables within SAP. Where information is incomplete, exceptions remain available for review rather than being cleared without sufficient evidence. Standard SAP remains responsible for the upstream bank-statement process.

Frequently asked questions

Is an unidentified payment the same as unapplied cash?

It is one type of unapplied cash. Other payments may be identified to a customer but remain unapplied because the correct invoices or treatment are unclear.

Should unidentified payments be posted to a customer account?

Only where the customer can be identified with sufficient confidence. Otherwise, the organisation’s suspense or clearing-account process should be followed.

Why are unidentified payments a problem?

They can overstate overdue receivables, misstate customer balances and increase manual investigation and collection work.
