Payment Difference

« Back to Glossary Index

What is a payment difference?

A payment difference is the difference between an incoming payment and the value of the invoices or other outstanding items it is intended to settle. It can result from a short payment, overpayment, discount, deduction, bank charge, rounding difference or incorrect remittance information.

SAP can process a payment difference in several ways. The appropriate treatment depends on its value, the reason for the difference, configured tolerances and the organisation’s accounting policy.

What causes payment differences?

Common causes include:

  • Agreed cash discounts
  • Customer deductions
  • Bank or transfer charges
  • Rounding and exchange-rate differences
  • Underpayments and overpayments
  • Incorrect invoice references
  • Payments covering a different set of invoices from the remittance advice
  • Disputed goods, services or pricing

Some differences can be handled automatically. Others require investigation because they may represent a dispute, missing document or unidentified allocation.

How are payment differences treated in SAP?

Depending on the circumstances and SAP configuration, a difference may be:

Example: A customer pays £9,980 against a £10,000 invoice. The £20 difference might be an approved bank charge, an unauthorised deduction or a simple error. Finance must identify the cause before applying the correct treatment.

What role do tolerances and reason codes play?

Tolerance groups define permitted limits for payment differences and write-offs. Reason codes record why a difference occurred and can influence how SAP posts or follows up the amount.

These controls help finance teams apply consistent treatment rather than making an individual decision for every small variance.

How can payment differences be managed during customer clearing?

Automated matching can identify the likely invoice even when the payment amount differs, but the accounting treatment may still require a configured rule or human decision.

The BEST Customer Clearing module matches remittance lines with open receivables and supports clearing, residuals and structured exception handling within SAP. It can apply configured rules while leaving unclear or higher-risk differences for review.

Frequently asked questions

Is a payment difference always written off?

No. A difference may become a residual item, partial payment, deduction, payment on account or unresolved exception. Write-off is only one possible treatment.

What is the difference between a payment difference and a payment discrepancy?

They are often used similarly. Payment difference is the SAP term commonly used for the value difference identified during clearing.

Can SAP process small payment differences automatically?

Yes, where the amount falls within configured tolerances and the required posting rules are in place.
